Privacy Policy

Plain-English answers about what we collect, why, and what control you have over it.

What we collect

When you use VitalityDesk or our website, we collect: contact details you provide (name, email, phone, company), call recordings and transcripts processed on behalf of our business customers, usage data from our dashboard, and standard web analytics (pages visited, device type).

How we use it

We use this information to operate the service (answering calls, booking appointments, sending confirmations on your behalf), to improve AI accuracy for your account, to communicate with you about your service, and to meet legal obligations. We do not sell personal information. Ever.

Call recordings

Calls handled by VitalityDesk AI are recorded and transcribed to deliver the service (transcripts in your dashboard, quality monitoring, AI training scoped to your account). Recording disclosures are configured per account to match the consent requirements of your state and industry.

Data sharing

We share data only with subprocessors required to run the service (cloud hosting, telephony carriers, transcription) under data processing agreements, with your connected systems at your direction (your calendar, your CRM), and when required by law.

Retention and deletion

Business customers control retention for their call data; defaults are 12 months for recordings and 24 months for transcripts. You may request deletion of your personal data at any time by emailing michael@vitalitydesk.com.

Your rights

Depending on your jurisdiction (including CCPA and GDPR), you may have the right to access, correct, delete, or export your personal data, and to opt out of marketing. Contact michael@vitalitydesk.com to exercise any of these rights. We respond within 30 days.
